Quotation and Proposal
Building Trust with Transparency, Precision, and Professionalism
Once the technical feasibility is confirmed, the next step in B2B collaboration is "quotation and proposal." This stage is not just a discussion of price and terms, but also a process of building professionalism and trust. For customized parts, especially high-precision aluminum alloy components involving forging and CNC machining, the quotation involves multiple factors such as materials, processing, molds, quality, and logistics. Al Forge Tech has always adhered to the principles of "transparency, traceability, and reasonableness," providing a complete quotation structure and specific solutions to help customers make the best decisions.
A Pre-Quote Preparation: Integrating Technical and Cost Data
(1)Detailed Cost Breakdown
Our engineering and quoting teams break down the entire production process into clear cost items:
- Cost of raw materials (calculated based on actual weight and the raw material price on the day)
- Raw material cost (forging/casting/extrusion, etc.)
- CNC machining costs (based on machining time, tool wear, and machine power consumption)
- Surface treatment costs (such as anodizing, sandblasting, and painting)
- Cost of heat treatment (such as T6 heat treatment and time-temperature treatment)
- Mould cost (if mold is required, split or calculated in full)
- Cost of quality control (such as three-dimensional measurement and report preparation)
- Packaging and logistics (internal packaging design, export wooden crates, freight transportation)
Every cost will be clearly documented and explained, to avoid confusion or disputes over pricing.
(2)Volume and Batch Size Impact
Quotation will be made based on different annual demand levels (MOQ, annual demand, batch size). For example:
- The unit price of 100 items vs 10,000 items will vary significantly.
- If batch production and combined packaging are acceptable, you can get a more favorable price.
- If production reaches the stable annual usage level, the mold cost can be evenly distributed or reduced.
These strategies allow us to offer more flexible collaboration solutions.
B Tooling, Jigs, and Fixtures: Design and Quotation
(1)Mold Design and Cost Estimation
If the product requires a new forging mold, we will provide a preliminary design concept of the mold structure, including:
- Material selection and structure of upper and lower molds
- Estimated mold life expectancy (e.g., 100,000 mold cycles, 500,000 mold cycles)
- Cooling duct design and deformation control method
- Tool repair and maintenance mechanism
- Depending on the complexity of the mold and its lifespan, the quote will list one-time costs, installment payment mechanisms, and even mold return conditions.
(2)CNC Jig and Fixture Development
If the product requires high-precision positioning, double-sided machining, and angled control, we will design dedicated processing fixtures (clamps) to ensure precision and efficiency in processing, and will reasonably factor these costs into the quotation.
C The Formal Quote and Multi-Tier Proposals
(1)What Our Formal Quotation Includes
The quotation we provide includes the following:
- Product name and version code
- List of detailed costs per item (by quantity level)
- Delivery terms (FOB/CIF/EXW, etc.)
- Payment terms (TT, LC, installments, etc.)
- Estimated lead time (sample/production)
- Costs for molds/fixture/testing tools (if any)
- Validity period and price adjustment terms
- Additional services (reports, packaging, certificates, etc.)
The quotation document will be sent after being double-confirmed by the business and technical managers to ensure accuracy and professionalism.
(2) Multi-version proposal strategy
For high-value customers or those with cost pressures, we can offer multiple options at the same time, such as:
- Economic version: Retains key functions, using lower-cost materials or simplified design
- Standard Edition: Meets basic performance requirements and is the mainstream version used by most customers.
- High-end version: upgraded materials, precision tolerances, and processing methods are suitable for high-end applications.
This strategy allows clients to choose based on their budget, purpose, and risk tolerance, rather than a single option.
D Technical Program Document and Sample Planning
(1)Solution Explanations and 3D Visual Aids
To help clients better understand the content of the proposal, we will create simple visual explanation materials, such as:
- 3D model processing simulation screenshot
- Process sequence flowchart
- Process Briefing PDF
- Key dimension inspection method description
If assembly or component integration is involved, simulation of the assembly effect or test illustrations will also be provided.
(2)Sample Production and Costing
The quotation sheet will also list the sample making fee (if any), including:
- Prototype samples (for early testing or review)
- Engineering samples (of mass production-grade quality)
- Customer confirmation sample (as a production standard)
We promise that necessary modifications and adjustments can be made during the sample phase to ensure that the product meets the required standards.
E Certification and Quality Assurance Statement
(1)Quality System Guarantee Documents
The quote will specifically mention that Al Forge Tech has passed the following international certifications:
- ISO 14001: Environmental management system
- IATF 16949: Automotive Industry Quality Management System
The following documents can also be provided (depending on customer requirements):
- Material component proof (MTC)
- First test report (FAI)
- Calibration certificate for measuring equipment
- Production process inspection records
- Batch shipment tracking history and tracking code
(2) After-Sales and Liability Guarantee Clauses
We will also specify the handling method and timeframe for quality disputes, such as:
- Return and exchange period for defective items (usually within 30 days after delivery)
- Responsibility and remedies for errors in materials/dimensions, etc.
- Technical support and free assistance within the warranty period
These terms make the partnership more stable and the risks manageable.
